Case management for food banks and partner pantry networks

A neighbor who visits three pantries should be one person in your data, not three. Collaborate puts the food bank and every partner agency in one workspace.

One network, one neighbor

  • Each partner agency is its own program, with its own staff and roles. Every record rolls up to the food bank.
  • A neighbor is recorded once and recognized at any agency in the network.
  • Household size, income and at-risk qualifiers are answered once, and appear already answered everywhere they are asked again.
  • Duplicate records merge through a guided wizard.
“Collaborate has simplified our work, made our team more efficient and improved our process and program outcomes.”

Eligibility forms you already file

  • TEFAP household eligibility, CSFP application and recertification, and state programs such as GNAP, built as forms.
  • The food bank owns the assistance list. Partners record against the same categories, so monthly totals add up.

Distributions and partner operations

  • Pantry, senior-center and after-school distributions are recorded as events naming the households served.
  • Partner onboarding, training and compliance visits are recorded against the agency and its contacts.

SNAP referrals, start to finish

  • A partner refers a household through a secure link with no login, and consent is required before it sends.
  • The referral lands in your outreach team's queue. Staff get an email with a link, and no personal details in the email.
  • The team accepts, waitlists or declines with a reason. Accepting converts it into a household, checking first for an existing record.

Your data, out

  • Every form exports to CSV or JSON.
  • Ask the reporting agent, the AI assistant that runs your funder reports, for pounds by category or households by agency. Collaborate computes the numbers, not the agent.

Network Ninja is HIPAA compliant and audited annually for both HIPAA and SOC 2 Type 2.
